The UniSC website has a three-step workflow approval process before any content is published.
- Authors — have access to edit and add content. Any updates are sent through a workflow to a Coordinator to approve.
- Coordinator — Coordinators are approved by Marketing and Communications and have overall responsibility for their area's web content.
- Final approvers — The web team in Marketing and Communications approves all updates before they are published and live on the website.
Step-by-step instructions
Publish
In the Umbraco edit site, once you've finished editing your web page you will need to send it through the workflow for your Coordinator to approve.
Before you send any updates through the workflow – check you have updated the review date and saved your changes.
- In the bottom right-hand corner, select the green 'Request publish...' button or click on the 'Workflow' icon in the top right-hand corner
- Add details of your updates in the 'Describe the changes' text field
- Select the 'Request publish' button
- An active workflow will be submitted for Coordinator approval and a banner will appear in the Content tab - 'Document is currently in a workflow'. It's best not to make further edits while a web page is in a workflow.
Workflow status
To check on the status of workflow you can either select the Workflow tab on the relevant web page or visit your Dashboard to view a list of your updates under My submissions. The 'View differences' button displays the changes on the web page. This tool is useful for Coordinators to gain a snapshot of the updates.
Cancel a workflow
To cancel a workflow, you can select 'Detail' from your Dashboard, add a comment and select 'Cancel'. Any updates you have made will remain on the web page until you re-edit and request to publish.
Unpublish
The Unpublish button allows you to remove a web page if you no longer require it to be publicly visible on the USC website. Your unpublished web page will still be accessible in the Umbraco edit site should you wish to update and re-publish in the future. To unpublish a page:
- Navigate to the web page in the Umbraco edit site you would like to unpublish
- Select the arrow next to the 'Request publish...' button
- Select Unpublish
