Module 5: Media gallery - Images, documents and videos

The Media gallery is where all the images and documents you can use on the UniSC website are saved.

This training module will cover the following topics:

How to add images and documents

Click the Media button to browse through the Media gallery. You can use the arrows on the left-hand-side of the folders to expand the menu and browse through the gallery. The gallery folders are set up the same way as the content tree.

To add images and documents to the Umbraco media gallery please submit a website enquiry form for prior approval - if accepted, a member of the web team will upload.

  • Submit a website enquiry form.
  • Use the "add attachments" button to upload images, documents.
  • Upload consent forms for individuals identified in any photographs.
  • The web team will upload the files and let you know when complete.
  • Once uploaded, you can access your images through the media gallery in Umbraco.

Please read the images requirements section below before sending images for approval.

Image requirements

  1. Images must be high-quality and jpeg file type to ensure they can be displayed in different components across the website
  2. The image must have an appropriate file name. Eg if it is a staff member, include their name as the file name, Professor Jane Smith
  3. Let us know where you would like us to save the photo in the Umbraco gallery Eg Images>Study>Life at UniSC
  4. Let us know the appropriate alt text for the image - this is for accessibility reasons Eg Man and woman smiling at camera
  5. Images that include recognisable faces must be accompanied by a signed consent release form completed by that person. This a legal requirement. (Please note, it is your responsibility to manage and store the consent forms of your School/work area.)
  6. Submit images along with relevant consent forms to the website team via a website enquiry form for upload.

Documents

All documents are stored in the documents folder within the media gallery.

For accessibility reasons, documents should only be available as an alternative way of accessing the information. Whatever is contained in the document should primarily be available as text on the webpage (ie, html content). If you do need to link to a PDF, follow these steps:

  1. Minimise the number of PDF and Word documents.
  2. Ensure the PDF has appropriate bookmarks and settings.
  3. Include the size of PDF or Word document in the link so people know what they are downloading. Format: (PDF XXXKB) or (Word XXXKB)

Videos

Approved videos are uploaded to UniSC's YouTube channel and embedded onto the web page.

If you intend on producing a video please contact marketing@usc.edu.au in the first instance for guidance and recommendations.

Refer to the Videography guidelines.

FAQs

What photos work best on the website?

Images on the website must meet the imagery guidelines outlined in branding documents on MyUniSC.

Choose images that are authentic, believable and inclusive.

View the Photography guidelines.

Is there a UniSC photo database that I can look through?

Yes, Marketing and Communications have a photo database called Intelligence Bank. Please email marketing@usc.edu.au and we can arrange access for you.

I can’t find an appropriate photo

If you are looking for a specific image, Marketing and Communications also have an image catalogue of approved images and a subscription to Getty stock library. Email marketing@usc.edu.au outlining your image requirements.

How do I resize my image?

When images are uploaded to the media gallery, Umbraco automatically resizes the photos for most components that are available on the website; square, portrait and landscape.

All images on the website will be shown as square images unless they are banner images or staff profile images and are sized appropriately by the web team.

A normal image that features somewhere on a webpage - such as in a card should be around 1280px wide.

What is the size for banner images?

An image that will be used as a banner image that is as wide as the content column on the page should be around 1800px wide.

An image that goes the whole width of the browser, such as a page header image, should be 2560px wide (but will also need to be cropped to around 350px tin height).
